Working with data: Research Participant Interviews

Guide on working with data

Introduction

On this page you will find information to help guide you through conducting interviews during the research process, including:

  • Recording an interview using Teams

  • Storing recorded interviews

  • Access to and ownership of recordings.

Recording an Interview Using Teams

It is recommended that the recording is transferred directly from the general Recordings folder on your OneDrive, where Teams will automatically store it, to the dedicated research folder on either the X:Drive or OneDrive. When considering the sensitivity of the data, the correct privacy settings should be attached to these folders and files.

Please be aware that sensitive recordings should not be stored, even fleetingly, on personal devices that are not encrypted at rest and do not have up-to-date security patches. They should also be stored in line with University policies for research data storage.

Once you have successfully transferred the recording to the research storage area specifically designated for the project, you should delete any copies (including deleting it from your recycle bin).

Further guidance on storing your research data, and recorded interviews, can be found on our Data Storage page.

By default, when a recording of a Microsoft Teams “meeting” is made, the participant who initiated the recording will have “ownership” of the recording. This participant has control of security/privacy settings and whether the recording is made accessible to others.

If you are conducting an interview with an external (to the University) participant then only you as the initiator of the recording would have access to the recording.

If another internal person of the University participates, they would by default be able to view the recording, until the initiator of the recording changes the privacy settings.

It is important to note the following default settings.

Participant Ownership of recording Access to recording
Initiator of recording (UoB) x x
Internal (UoB)   x
External
